This policy explains what Gallop Education collects on gallopedu.com, why we collect it, who processes it, how long we keep it, how we handle images and submitted materials, and how you can access, correct, or delete your information.
Who we are
Gallop Education (“Gallop,” “we,” “us”) provides education and career consulting from Boston, Massachusetts, United States. This policy covers gallopedu.com and the consultation-request form on this site. It is not a consulting contract and is not legal advice about every privacy right that may apply where you live.
Types of information collected
We collect the following categories of information. We do not run advertising pixels or analytics cookies on this site.
- Identity and contact details you enter: name, email address, and optional phone number or WeChat ID
- Consultation details: preferred date and time (Eastern Time), selected service, and optional program, track, or competition detail
- Optional notes you choose to write in the form
- Request context: page URL, page language, request source (standard booking or smart matching), UTM parameters on that page, and a request ID we generate to detect duplicate sends
- Technical information created when you load the site or submit the form: IP address (used to reduce automated abuse), approximate request time, and standard hosting logs such as browser user-agent
- Technical delivery data created by email, SMS, and hosting providers (for example delivery status), not a browsing or advertising profile
- Materials you later send by email or WeChat if an advisor asks for them after a request
Purposes for booking and consultation data
We use booking and consultation-request information only to operate that flow and to follow up with you.
- Read and respond to your request, and match you with an advisor
- Send you a confirmation email and, when needed, continue by email or WeChat
- Send an internal staff email, and a short internal SMS alert that does not include your notes
- Prevent duplicate sends, reduce automated abuse, and keep a business record of the inquiry
- Improve the wording and reliability of this website’s request form
Processors and vendors
Gallop Education is the organization responsible for this information. We use a small number of service providers to host the site, load fonts, and deliver messages. They process data only to provide those services to us.
- Vercel hosts this website and the booking request function, and may process technical logs (including IP address) as part of hosting
- Resend sends the company inbox email and your confirmation email
- Twilio sends the internal staff SMS alert. We do not text you through Twilio for this form
- Google Fonts (Google) delivers the typefaces used on this site. Your browser may request those files from Google, which can receive your IP address
- WeChat is an independent service. If you add GALLOPEDUCATION, your chat with us follows WeChat’s own terms and privacy rules
Retention periods
We keep consultation-request records for as long as we need them to reply, confirm a conversation, and keep a reasonable business record of inquiries — typically up to 24 months, unless a longer period is required for a continuing matter, a later engagement, or by law. Message-delivery logs held by vendors follow those vendors’ own retention settings. Transient anti-abuse records (such as short-lived request IDs and rate-limit data) are kept only long enough to prevent duplicates and automated abuse, generally no more than 24 hours in the booking function’s working memory.
Cross-border processing
Gallop Education is based in Boston, Massachusetts, United States. If you write to us from another country or region, your information is processed in the United States and may also be processed in other countries where our vendors operate. Those countries may have different privacy laws than your home country.
Minors and parent or guardian information
This website is meant for students and families considering education and career consulting. A parent or guardian should submit consultation requests for younger students and may provide the student’s name and education context along with the parent’s or guardian’s own contact details. We do not knowingly collect consultation-request information from children under 13 through this form. If you believe a child under 13 submitted a request without appropriate adult involvement, email info@gallopedu.com and we will delete that record. If you are a student under the age of majority where you live, please involve a parent or guardian before sending a request.
Images, case studies, QR codes, and user-submitted materials
Photographs, school marks, ranking tables, offer letters, and other images on this site are published as website content. Admission case studies and offer images are privacy-processed: personal details are removed or reduced before display. The WeChat QR code on this site is Gallop’s own contact image so you can add GALLOPEDUCATION; it is not a collection of visitor QR codes, and scanning it takes place in WeChat, which has its own rules. Please do not include full transcripts, passport or national ID numbers, bank details, or health records in the website notes field. If supporting materials are needed, an advisor will ask by email or WeChat. Materials you then send are used to advise you on that matter, stored with the related correspondence, and retained under the periods above unless a longer engagement record is required. Publishing a student’s story or image on this site depends on the separate permissions we have for that material; this policy does not replace that consent.
- Website images and school or publisher marks are not used as a database of visitor personal data
- Case studies and success stories are examples of past work with personal information removed or reduced
- The WeChat QR code is a Gallop contact image; chats after you scan it are processed by WeChat and by Gallop only as messages you choose to send
- Form notes and later email or WeChat attachments are user-submitted materials used for the consultation, not for public display unless we have a separate permission
Security
We limit staff access to consultation requests, transmit the form over HTTPS, and avoid putting notes or extra personal detail into the internal SMS alert. We take reasonable technical and organizational measures to protect information. We cannot guarantee absolute security of information transmitted or stored online. No method of transmission or storage is completely secure. If we become aware of a security incident that affects your consultation-request information, we will take steps required by applicable law, which may include notifying you.
How to access, correct, or delete your information
You may email info@gallopedu.com to ask what consultation-request information we hold about you, to correct it, or to ask us to delete it. We may need to confirm it is you before we change or remove a record. We may keep a limited record when the law or an ongoing matter requires it. You may also ask us to stop contacting you about a request. This page describes how we handle website requests; it is not legal advice about every privacy right that may apply where you live.
Policy updates
We may update this policy when our practices or vendors change. The effective date at the top of this page will change when we do. For material changes, we will also update this page before the new text applies to new consultation requests. Continued use of the consultation form after an update means the revised policy applies to new requests.
